Coordinates the release of information to other health care facilities, physicians and insurance agencies. The duties of this position require the exercise of courtesy in speaking with patients, families, and others in order to maintain sound public relations.
PRIMARY DUTIES AND RESPONSIBILITIES
- As Senior, will work independently and will own a process or lead a team within the department.
- Performs the process of record certification.
- Audits request for accuracy.
- Reviews verbal and written authorizations and requests for medical record information to establish compliance in meeting department requirements.
- Reviews and coordinates preparation of medical records in accordance with departmental policy to determine release of confidential information.
- Responds to, and determines intensity of, stat phone requests from other healthcare facilities for verbal release of information.
- Performs copying of charts to be sent with a patient on transfer to another facility. Prepares invoices for photocopy charges and necessary correspondence to communicate with the requesting party.
- Collects payments, prepares receipts, and delivers deposits to the Accounting office.
- May assist in orienting and training new employees.
- Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury‑accident to Manager.
- Develops methods for monitoring and measuring quality, i.e., sampling, tools, summarization and data analysis.\Training for new team members.
- Interprets and implements hospital policies relating to disclosure of health information.
- Analyzes and answers correspondence requests in compliance with all regulatory agencies, state and federal law.
- Prepares incoming correspondence for processing including open/date stamp mail and enters data into computerized correspondence log.
- Contact providers and/or other departments regarding requested information, when appropriate
- Prepares records for release including scan authorization into medical record, copy appropriate documents and charges fees allowed by Georgia state law.
- Reviews, screens and copies subpoenaed records
- Copies records for audit reviews.
- Assists all walk-in patients.
- Problem solves complex medical record release issues.
- Perform other duties as assigned.
