Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES

Radiology and Surgery Scheduling

  1. Regularly performs the duties and responsibilities of a Scheduler.
  1. Responsible for monitoring the ACD phone monitoring system to ensure calls are handled in a timely manner. Responds with immediate action as necessary, e., reassigning schedulers.
  1. Approves appointments requiring conflicting schedules.

 

4. Gives input to supervisor concerning employee performance, disciplinary issues, and hiring decisions.

  1. Efficiently utilizes computerized scheduling system.
  1. Coordinates examination sequencing in cases where multiple examinations are required for an individual patient. Follows special instructions to ensure that preparations for one exam do not obscure results of other scheduled exams.
  1. Applies specific criteria to ensure correct equipment and procedure rooms are scheduled.
  1. Supplies patients with correct instructions and reviews instructions with patients. Is able to answer routine questions concerning nature or length of procedure.  Discerns when questions require referral to technical/medical staff.
  1. Telephones physician offices and obtains patient information necessary for proper scheduling of examination if necessary.
  2. Completes appropriate paper work for biopsies and invasive breast procedures.
  3. Calls patients to confirm next day appointments, reviewing all pertinent information with patient. (Surgery only)
  1. Compares written orders received to scheduled appointments in system. Checks for accuracy and makes appropriate changes.  (Surgery only)
  1. Accurately documents scheduling conflicts for supervisory override. (Surgery only)
  1. Overrides scheduling conflicts submitted by schedulers. (Radiology only)
  1. Catalogs information provided to remain abreast of any changes in procedures and processes and assists in making the Schedulers aware of changes as they occur. (Radiology only)
  1. Monitors office supply inventory for the department and orders supplies as needed. (Radiology only)
  1. Reviews errors with employees in a timely manner and provides necessary feedback when appropriate.
  1. Trains and orients new employees to the scheduling system. Reviews cases scheduled during probationary period for new hires and provides necessary feedback to employee.
  1. Responsible for the billing process of surgical patients which includes the surgical and anesthesia supplies, operating room and anesthesia time charges, and implanted devices. Performs daily audits on patient charging to ensure accuracy and completeness of all records. (surgery only)
  1. Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury/accident to supervisor.

BCC Front Desk

  1. Tracks, locates, and otherwise monitors location of film and reports; responsible for distribution of film, reports, and other documents relating to Radiology procedures.
  1. Coordinates procedure / examination sequencing and otherwise monitors schedules to detect or prevent conflicts and resolves conflicts as necessary; refers non-scheduling issues to nurse clinician, coordinator, or lead technologist.
  1. Communicates with physician office staff to obtain information necessary for accurate scheduling, registration, and/or results reporting for patients.
  1. Assists with staff training and orientation; provides assistance as necessary.
  1. Evaluates staff performance and assists with staff performance evaluation; may recommend performance improvement/development activities as necessary and appropriate.
  2. Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury/accident to supervisor.

Mammography Reporting System (MRS)

  1. Regularly performs the duties and responsibilities of the MRS staff.
  1. Responsible for monitoring day to day work assignments. Coordinates utilization of equipment and personnel for maximum productivity and cost effectiveness.  Reassigns staff and/or workload as necessary to meet department goals.
  1. Responsible for orientation/training of new staff or new protocols in system.
  1. Serves as a resource and resident expert on all technical functions of the MRS system.
  1. Assigns and evaluates employees work, contributes to employee’s performance evaluation.
  1. Compiles reports and statistical data where information is extracted from multiple sources. Assignments of this nature require significant analysis and research of associated files, documents and operating procedures.
  1. Communicates regularly with department Coordinator.
  1. Maintains all pertinent patient and radiologist data to meet all regulatory requirements.
  1. Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury/accident to supervisor.

Rehabilitation Services and Pre-Surgical Testing

  1. Regularly performs the duties and responsibilities of front office staff in conjunction with Lead Scheduler responsibilities, which includes flexibility with work schedule to support departmental needs.
  2. Assists with daily operations of the scheduling team and works collaboratively to resolve conflicts.
  3. Provides assistance with departmental data entry and reports.
  4. Assists with resolution of issues during registration/collection encounters.
  5. Identifies operational problems and assists in the creation and implementation of new processes, policies and procedures, or staff support activities that will meet the goals of the department and supports the hospital initiatives.
  6. Assists with training and onboarding of new hires.
  7. Monitors and assists with ordering departmental supplies.
  8. Reports any mechanical or electrical malfunctions, unsafe conditions, or employee/patient/visitor injury/accident to supervisor or member of leadership.
  9. Assists in monitoring of day-to-day work assignments, including reassignment of staff as necessary to meet departmental goals and ensure adequate coverage at all sites.
  10. Assists in monitoring of the Intake Database workflow, including reassignment of referrals as needed based on individual scheduler caseloads.
  11. Assists with turnaround times for all processes.
  12. Assists in the tracking of complaints and/or concerns and communicates these to leadership.
  13. Serves as the main point of contact for front office staff.
  14. Communicates regularly with leadership.
  15. Assists/completes deposit and associated paperwork on designated pick-up days.
  16. Assists members of leadership as assigned.

PROFESSIONAL DEVELOPMENT AND LEADERSHIP

ADDITIONAL DUTIES AND RESPONSIBILITIES

  1. Other duties as assigned by supervisor.

Qualifications

 

 

  • Two (2) years clerical experience, with 6 month of supervisory experience, or 3 years of clerical clinical experience.
  • Ability to type forty (40) words per minute.
  • Demonstrated knowledge of medical terminology.
  • Demonstrated problem-solving skills.
  • Demonstrated knowledge and skill in the utilization of computer applications.
  • Demonstrated organizational and communication/customer service skills.

PREFERRED

  • Previous experience in admission or scheduling environment in a hospital/medical

            office environment.

  • Previous supervisory experience.
