Responsibilities

The Health Information Management (HIM) Operations Quality Assurance Coordinator supervises the team members responsible for quality activities with HIS and ensures the accuracy, compliance, and efficiency of HIM processes within the hospital setting. This role supports the integrity of health records, facilitates adherence to regulatory standards, and promotes operational excellence across HIM functions. The coordinator works closely with HIM leadership, clinical departments, and compliance teams to monitor workflows, implement improvements, and manage documentation tools such as hospital forms. A strong understanding of HIM operational practices, regulatory requirements, and hospital operations is essential. Supervises and trains staff. 

 

PRIMARY DUTIES AND RESPONSIBILITIES

 

Operational Monitoring & Quality Assurance

  • Develops methods for monitoring and measuring quality, i.e., sampling, tools, summarization and data analysis for staff.
  • Coordinate routine audits of HIM workflows to ensure compliance with hospital policies and regulatory standards (e.g., HIPAA, Joint Commission).
  • Monitor key performance indicators (KPIs) and operational metrics to identify trends, gaps, and opportunities for improvement.
  • Validate the accuracy, completeness, and timeliness of health record documentation.
  • Compliance & Regulatory Support
  • Assist in preparing for regulatory surveys and accreditation reviews.
  • Support the implementation and tracking of corrective action plans following audits or compliance assessments.
  • Ensure HIM operations meet federal, state, and organizational compliance requirements.
  • Process Improvement & Standardization
  • Collaborate with HIM leadership to develop and refine standard operating procedures (SOPs).
  • Facilitate process improvement initiatives using Lean, Six Sigma, or similar methodologies.
  • Coordinate training and education for HIM staff on updated procedures and compliance requirements.
  • Forms Management
  • Oversee the lifecycle of hospital forms used in clinical and administrative documentation.
  • Ensure forms are standardized, approved, and updated in accordance with regulatory and operational needs.
  • Collaborate with departments to evaluate form usage, eliminate redundancy, and improve usability.
  • Communication & Collaboration
  • Serve as a liaison between HIM, clinical departments, and administrative teams to resolve operational issues.
  • Provide regular updates and reports to HIM leadership on assurance activities and findings.
  • Participate in cross-functional initiatives related to documentation, compliance, and HIM operations.

Qualifications

 

REQUIRED

  1. RHIT – Registered Health Information Technician OR RHIA - Registered Health Information Administrator
  2. 6+ years’ supervisory experience in an acute care hospital medical record or Quality Department in a professional capacity.

 

PREFERRED

 

  1. Masters Prepared.
  2. Demonstrated experience in QCI concepts tools and techniques.
  3. Demonstrated knowledge/skills in legal and JCAHO requirements.
